📆 Here is what payroll schedule to anticipate

Employees are paid on the last working day of the month. You should receive your salary before the end of the work day by 5.00 p.m.

💸 Here's where to go for payslips

Your payslips will be sent to you by email on or around payday.

🤑 Here's where to go for expenses

Please submit your receipts to the “Expenses” section of your OmniPlatform profile. Any expenses approved by your manager by the 15th of the month will be paid out on the last working day of that month’s payroll.

🌴 Here's what to do for holiday/vacation

Use your internal HR systems for annual leave requests (Please speak to your Line Manager for assistance). Once the holiday/vacation time is approved, you must register your time off in the “Time Off” tab of your OmniPlatform profile for payroll purposes.

🌍 Wondering about your public holidays?

You should always follow the public holidays of the country you're employed in, so please take those days off and rest! Please ensure you always give a heads-up to your line manager in case they're located in a different country.

📎 Urlaubsbescheinigung (Holiday Statement)

If you have been previously employed, we kindly ask you to upload your Urlaubsbescheinigung (Holiday Statement) from your last employer to the Documents section on the OmniPlatform before your start date. This document indicates how many leave days you have used this year and is required for accurate holiday payout calculations during offboarding, if applicable. Please note, this is not needed if you were a contractor before or if this is your first job.

📗Employee Handbook

Please view the Employee Handbook here.

⏰ Submitting Timesheets

To comply with the current legal employment regulations in your country of work, we require our employees to complete monthly timesheets. To help speed up the process, the OmniPlatform automatically generates timesheets for you, but it is your responsibility to review and approve them. In this article, you will find the instructions on how to do it.

🤒 Here’s what to do if you’re feeling unwell

If you feel unwell, please inform your line manager as soon as possible and email help@omnipresent.com. Additionally, kindly log your time off in the "Time Off" tab on the OmniPlatform for payroll purposes.

It is important to submit a medical certificate by the fourth day of your sick leave. This document should confirm your inability to work and the expected duration of your absence. Please send this directly to help@omnipresent.com and also keep your direct supervisor informed.

👩🏼‍🍼Here's what to do for maternity leave

In Germany, mothers are entitled to Mutterschutz (Maternity Protection), which includes six weeks of leave before the expected due date and eight weeks after birth (extended to twelve weeks in cases of premature, multiple, or cesarean births). During this time, you’ll receive Mutterschaftsgeld (Maternity Benefit), which covers 100% of your net salary, up to a limit set by your statutory health insurance provider.

Parental Leave DurationAfter Mutterschutz, parents can take up to 14 months of parental leave. During this time, you may be eligible for Elterngeld (Parental Allowance), which generally covers 60% to 67% of your pre-birth net salary, up to a maximum of EUR 1,800 per month. Parents can choose to split this time flexibly.

What You Need to Do

  1. Let Us Know
Please inform your manager and Omnipresent of your intended leave dates as early as possible—ideally at least two months in advance. You'll need to submit some documentation, including a letter from your doctor confirming the pregnancy and due date, and later, a copy of the birth certificate.

  2. Apply for the Benefits
Once you’ve notified us, you can apply for Maternity Benefit through your health insurance and Parental Allowance via your local parental allowance office. We’re happy to support you by providing any company documents you may need for the application.

We encourage you to coordinate your leave plans closely with your manager to ensure a smooth transition for both you and your team. Please don’t hesitate to reach out if you have any questions—we’re here to help!

👨🏼‍🍼Here's what to do for paternity leave

Fathers in Germany can take a short-term paternity leave of up to 10 working days immediately after the birth of their child. This time is designed to support your partner and bond with your newborn during those important first days.

Parental Leave DurationIn addition to the initial paternity leave, fathers are entitled to take up to 14 months of parental leave. During this period, you may be eligible for Elterngeld (Parental Allowance), which typically covers 60% to 67% of your pre-birth net salary, up to a maximum of EUR 1,800 per month. This leave can be shared flexibly between both parents.

What You Need to Do

  1. Let Us Know
Please inform your manager and Omnipresent of your intended leave dates as early as possible—ideally at least two months in advance. You’ll need to provide a copy of your child’s birth certificate.

  2. Apply for Parental Allowance
Once you’ve informed us, you should apply for Parental Allowance through your local parental allowance office. We’re here to support you by providing any necessary company documentation for your application.

We encourage you to coordinate your plans closely with your manager to ensure the best possible arrangement for your team during your time away. Let us know if you have any questions—we’re happy to help!
