📆 Here is what payroll schedule to anticipate

Employees are paid on the last working day of the month. You should receive your salary before the end of the work day by 5.00 p.m.

💸 Here's where to go for payslips

Your payslips will be sent to you by email on or around payday. The payslip will be password-protected. The passcode is your DNI or NIE number.

🤑 Here's where to go for expenses

Please submit your receipts to the “Expenses” section of your OmniPlatform profile. Any expenses approved by your manager by the 6th of the month will be paid out on the last working day of that month’s payroll.

🌴 Here's what to do for holiday/vacation

Use your internal HR systems for annual leave requests (Please speak to your Line Manager for assistance). Once the holiday/vacation time is approved, you must register your time off in the “Time Off” tab of your OmniPlatform profile for payroll purposes.

🌍 Wondering about your public holidays?

You should always follow the public holidays of the country you're employed in, so please take those days off and rest! Please ensure you always give a heads-up to your line manager in case they're located in a different country.

🤒 Here’s what to do if you’re feeling unwell

Please inform your line manager as soon as reasonably possible on the first day of your absence due to illness or injury. Additionally, kindly log your time off in the "Time Off" tab for payroll purposes. Please bear in mind that all employees are required to visit a Medical Professional to formalize the sick leave with the Spanish Social Security system - please make sure you do this as soon as possible.

⏰ Submitting Timesheets

To comply with the current legal employment regulations in your country of work, we require our employees to complete monthly timesheets. To help speed up the process, the OmniPlatform automatically generates timesheets for you, but it is your responsibility to review and approve them. In this article, you will find the instructions on how to do it.

🌇 Summer intensive working hours

Omnipresent is a member of the “State Collective Agreement for Public Opinion Consulting and Market Research Companies”, for that reason, we must have intensive working hours in the month of August. For this specific month, your weekly working hours should not exceed 36 hours. After August, you can return to the regular weekly hours stated in your contract. To ensure compliance, we kindly request you to not exceed 36 hours of work per week during the month of August.

In Spain, mothers are entitled to 16 weeks of paid maternity leave, ensuring ample time to recover and bond with your newborn. The first 6 weeks following delivery are mandatory to aid your recovery, while the remaining 10 weeks can be arranged flexibly within your child's first year. It's crucial to discuss this flexible period with your manager to coordinate your professional responsibilities smoothly.

Key Benefits and Process:

  • Duration of Leave: You're entitled to 16 uninterrupted weeks of maternity leave. The initial 6 weeks are mandatory post-birth, with the rest being flexible throughout the child’s first year.

  • Maternity Benefits: You will receive 100% of your regulatory base salary, up to the maximum social security contribution base of EUR 4,720.50 for 2024. If your salary exceeds this amount, you'll receive the maximum allowable benefit during your leave.

Steps to Apply for Maternity Benefits:

  1. Notification: Inform us at help@omnipresent.com and your manager about your intended maternity leave dates as early as possible, preferably two weeks before you plan to start your leave.

  2. OmniPlatform: Alongside your email notification please ensure you also register this leave on the OmniPlatform with any details we need to know to process your payroll accurately.

  3. Documentation: Send us a copy of your child's birth certificate as soon as available. We'll use this to apply for the maternity certificate on your behalf.

  4. Apply for the Benefit: Once you receive the receipt from us for the maternity certificate application, you must submit this receipt along with your application for maternity benefits through the Social Security electronic office. Instructions and access to your Spanish digital ID can be found here, which will greatly simplify this process.

    Please ensure these steps are completed promptly to facilitate a smooth transition into your maternity leave. If you have any questions or need further assistance, do not hesitate to reach out.

In Spain, fathers are entitled to 16 weeks of paid paternity leave, ensuring you have ample time to bond with your newborn and support your family. The first 6 weeks post-birth are mandatory to help you be there during the crucial early days, while the remaining 10 weeks offer flexibility and can be taken any time before your baby's first birthday.

Key Benefits and Process:

  • Duration of Leave: You are entitled to 16 weeks of paternity leave. It's mandatory to take the initial 6 weeks immediately after your child's birth. The subsequent 10 weeks can be scheduled flexibly throughout the child's first year, in coordination with your workplace needs.

  • Paternity Benefits: During your leave, you'll receive 100% of your regulatory base salary, paid by the Social Security system, up to the maximum social security contribution base of EUR 4,720.50 for 2024. If your salary exceeds this threshold, the benefit will be capped at this maximum amount.
