How to pay a contractor’s invoice through the OmniPlatform

Learn how to view and pay open invoices from your contractors.

Once your contractor has verified their identity and raised an invoice, you will receive an email that informs you of the new invoice. When you log in to OmniPlatform, you will see this invoice on the list of 'Contractor invoices' under the 'Billing' tab. The 'Status' of an invoice can be one of the following:

  • Open - invoices that are still open and have not been paid yet.

  • Overdue - invoices that are still open and have reached their 'Due Date' as indicated by the contractors.

  • Paid - invoices that have been paid.

  • Cancelled - invoices that have been cancelled by the contractors (not paid yet).

The 'Pay' button is only available for 'Open' or 'Overdue' invoices.

Pay an invoice

  1. Click on 'Billing' > 'Contractor Invoices' from the left-hand menu.

  2. The 'Pay' button will be available for unpaid invoices.

  3. To pay just one invoice, click 'Pay' next to the invoice that you want to pay. To pay multiple invoices at once, select the checkboxes to left of the invoice line. Please note you can only proceed to pay invoices which are 'Open' and in the same currency. Click 'Pay Invoices' in the top-right of the invoice table.

  4. Review the summary of the invoice amount, exchange rate, management fee (if applicable) and the total amount you need to transfer.

Please note: For UK-based companies, VAT is applicable.

3. To proceed to payment, click 'Continue'.

4. You'll be shown bank account details to transfer funds to. We partner with Mangopay as our payment provider, and these bank account details belong to Mangopay.

5. Once you send the funds via manual bank transfer, your invoice is paid and the status will clear as soon as the funds reach the account (unless there are any issues with the payment, you will hear from Omnipresent in this case).

I’m not the Finance person in my company, how should I send this information to my Finance department?

If your finance department does not have access to the OmniPlatform, we recommend you screenshot the bank details shown to you in the OmniPlatform and send them to your Finance department. Please make sure that we receive your transfer within 24 hours to avoid FX rate fluctuation.

We do recommend you add your Finance team to the OmniPlatform and let them handle the payment directly from OmniPlatform.

How to add a finance manager to the OmniPlatform:

  1. Click on 'Permissions' on the right-hand side

2. Click 'Add a new manager' on the left-hand side, and insert their First Name, Last Name, Job Title, Department and Email. Click 'Add a manager' on the bottom right-hand corner.

3. Once you have added your 'Finance manager', update their permissions.

  • Ensure the 'Can access company-wide payroll Data' AND 'Can access company- side financial data' boxes are both ticked. Please note: if the 'Super Admin' toggle is enabled, the finance manager will be able to see all employee data. You can read more about permissions here.

4. Your 'Finance manager' has now been added to OmniPlatform. They will receive an email with login details to set up their account and will be able to follow the steps above to pay the contractors.

What payment methods can be used to pay a contractor invoice?

Manual bank transfer is the only payment method currently available for contractors.

Why are the bank details different to Omnipresent's bank details?

We partner with Mangopay as our payment provider, and these bank account details belong to Mangopay.
