How to Set Up Parental Leave in your HRIS

The following configuration outlines a generic Parental Leave policy template. Its primary purpose is to enable basic leave tracking within the system. This policy is not comprehensive and lacks country-specific details.

All official context, specific instructions, required documentation, and information for payroll processing are managed separately via direct email (help@omnipresent.com) correspondence. That correspondence should be considered the primary source of truth for all parties involved.


Allowance & Accrual

  • Annual Entitlement: 365 days.

  • Accrual Frequency: Annually. The full balance is granted at the beginning of the cycle.

  • Activity Period: January 1st to December 31st.

  • Proration: The allowance is prorated based on calendar days from the employee's hire/assignment date and up to their termination/unassignment date.

  • System Display: The balance is shown as an annual amount, with any partial days rounded up to the nearest whole number.


Balance & Limits

  • Carryover: 0 days can be carried over to the next year.

  • Negative Balance: Employees are allowed to go into an unlimited negative balance.


Leave Requests

  • Minimum Request Time: 1 day.

  • Deductible Days: Any day of the week can be requested.

  • Employee Inputs: A description and an attachment are optional when submitting a request.

  • Cutoff Period: Requests are allowed after the cutoff date has passed.

  • Visibility: The policy is visible to the public.


Approval

  • Approval Flow: Approval is required for all Parental Leave requests.

  • Assigned Approvers: No specific approvers are currently assigned.


Long-Term Leave Status

  • While on leave, employees will:

    • βœ… Continue to accrue time off as normal.

  • While on leave, employees will not:

    • ❌ Be able to request additional time off.

This policy configuration serves as a basic template to ensure leave is tracked accurately in the system.

For all parental leave, the employee and/or manager must contact us via email at help@omnipresent.com. This is to ensure all country-specific details, required documents, payroll instructions, and compliance with local institutions are captured correctly.
