We all need time off work to rest and relax. Here is a guide on how to submit time off in the OmniPlatform.

Is manual time off submission available?

Your company may have enabled time off integration or the time off upload. In that case, the manual submission won't be available to avoid data duplication and your time off data is now being fetched from your company’s HRIS or uploaded via CSV.

If you have any questions/concerns regarding the days taken, we suggest reaching out to the company for clarification and for modifications, please reach out to help@omnipresent.com, we'll be happy to assist. For manual submission, please continue reading the rest of the article.

Before submitting your leave

  1. Instructions on how you should be submitting leave can be found in your OmniPlatform profile by clicking on the left bar Employment -> My Employment or by accessing the relevant Employment Guide.
*When your legal employer is not Omnipresent, the process of submitting leave is set by your legal employer. Please follow the instructions they have shared during onboarding.

  2. When you are submitting time off in the OmniPlatform, your manager won't receive a notification to approve it. Therefore, you should always seek approval by using an internal HRIS tool first.

  3. Local holidays (e.g. national holidays, bank holidays, etc.) are automatically accounted for by Omnipresent, and you do not need to log them in the OmniPlatform. On the other hand, regular annual leave, sick leave, and other types of leave should all be logged in the OmniPlatform.

Types of Leave

  • Holiday = days taken from the annual leave balance

  • Sick = days taken as sick leave or from the sick leave balance (if applicable)

  • Compassionate = days taken as bereavement leave

  • Other = any other type of leave that shouldn't be deducted from the annual leave balance. That includes marriage, parental leave, moving house, study etc depending on the laws of your country.

How to submit leave

First, you should request leave on your company’s chosen time-off tracking tool. Then, once it’s been approved, you should also log it within the Omnipresent platform. This process should only take a few moments to complete:

Step 1: Log into the Omnipresent platform (OmniPlatform).

Step 2: In the left-hand side menu click on 'Employment', then select 'Time off'.

Step 3: Next, click the 'Add time off' button in the top-right of the screen.

Step 4: A form will pop up where you can fill in the details of your leave. Make sure all fields marked with an asterisk are filled in. It’s not mandatory to leave a description but it helps you remember when/why this leave was taken.

Step 5: Finally, click 'Submit' at the bottom of the form.

All upcoming leave will appear in the ‘Scheduled’ menu. As things can change and life happens, you can delete and re-add your leave as and when necessary.

Previously taken leave can be found in the ‘Taken’ tab:

If you need to modify time off that has been taken in the past, please reach out to help@omnipresent.com, and we'll be happy to assist you.

How to add a half-day

Inform Omnipresent and your manager about taking the half day off and you can add one day off later on in the future when you decide to take the other remaining half. You can make a note about it when you add it.

How to add maternity/paternity leave

You'll notice there is no option to log maternity/paternity leave on the OmniPlatform. Please reach out to the Support team to arrange leave. We'll make sure we have everything we need to ensure a smooth transition to and from your parental leave.

Extended sick leave

You can add sick leave into the OmniPlatform. If you have a doctor's note, please upload this to the 'Documents' tab in your OmniPlatform account. Please feel free to reach out to the Support team if you need any help or have any questions at all.

How to add RTT to annual leave in France

You must log annual leave and RTT on the OmniPlatform. Please specify when annual leave is RTT in the notes when you submit it. This is important for compliance.
