How to Set Up Paid Permits (Permessi Retribuiti) Leave Policy in Hibob

Overview

This guide will help you set up the Italy - Paid Permits Leave policy in Hibob. Follow these steps to ensure compliance with Italian labor laws and configure the leave type correctly in your HRIS.


Step 1: Access Time Off Settings

  1. Log in to Hibob.

  2. Navigate to Settings > Time Off.

  3. Click Time Off Policy Types.

  4. Select New Policy Type.


Step 2: Define Policy Details

  1. Name: Italy - Paid Permits Leave

  2. Description: Paid Permits (Permessi Retribuiti) Leave for Italian employees only.

  3. Policy Type: Italy - Paid Permits Leave

  4. Associated Sites: Italy

  5. Click Save.


Step 3: Configure Allowance

  1. Base Annual Allowance: 4 days

  2. Accrual Cycle:

    • Balance Closing Frequency: Annual

    • Activity Period: January – December

    • Accrual Timing: Employee’s balance increases at the beginning of the cycle

    • System Display: Annual accrual

    • Rounding Method: To the nearest

    • Precision: Half

  3. Click Save.


Step 4: Set Up Proration of Allowance

  1. Go to the Proration of Allowance section.

  2. Calculation Method: Calendar days

  3. On Hire / Assignment: Prorate allowance from the hire or assignment date.

  4. On Termination / Unassignment: Prorate up to the termination or unassignment date.

  5. Click Save.


Step 5: Configure Allowance Increases

  1. Navigate to Allowance Increase.

  2. Enter the following values:

  3. Increase Timing: On anniversary date (prorated according to the cycle).

  4. Click Save.


Step 6: Configure Leave Request Settings

  1. Go to the Request section.

  2. Configure the following settings:

    • Deductible Days: Workdays only

    • Minimum Requestable Time Off: Half-day

    • Description: Optional

    • Attachments: Optional

    • Visibility: Public

  3. Click Save.


Step 7: Set Up Approval Workflow

  1. Navigate to Approval.

  2. Configure the following:

    • Approval Required: ✅ Yes

    • Approvers: Employee’s approval

  3. Click Save.


Step 8: Configure Long-Term Leave Settings

  1. Go to Long-Term Leave.

  2. Configure the following:

    • Accrual During Leave: Employees will continue accruing time off while on leave.

    • Leave Requests: Employees cannot request additional time off while on leave.

  3. Click Save.


Step 9: Review and Finalize Configuration

  1. Assign the policy to a test employee.

  2. Verify the accrual and balance calculations.

  3. Ensure the request and approval flow works correctly.

  4. Make adjustments if necessary.
