When will you receive these and why may you receive more than one for each employee?

The 'Deposit' and 'Salary Pre-Payment' invoices both essentially act as deposits and if all outstanding invoices are settled, both amounts will be credited and refunded in full at the end of each employee's tenure.

The Deposit is 10% of an employee's annual income and is taken to protect Omnipresent from customer insolvency. The Salary Pre-Payment is the estimated monthly cost of an employee and is taken to ensure Omnipresent receives funding (albeit an estimate) before we're required to pay your payroll each month.

Changing an employee's salary

Both of these amounts are based on the salary of an employee and, as a result, if you increase or decrease and employee's salary, these amounts will change. You will receive both a deposit and salary pre-payment invoice for the proportional difference between the old and new amounts.

E.g. The deposit we hold (10% of the old annual salary) and the deposit we need (10% of the new annual salary) and the salary pre-payment we hold (estimated monthly costs of the employee on the old salary) and the salary pre-payment amount we require (estimated monthly cost of the employee on the new salary).

Why am I receiving a Deposit/Salary Pre-Payment invoice for an employee who was onboarded a long time ago?

If you changed an employees salary recently, you will receive an updated deposit and salary pre-payment invoice

How can I tell if a deposit invoice is related to a salary change or an onboarding?

The 'Reference' on the invoice will say 'Deposit - Employee Name' for an onboarding deposit.

If we reduce an employee's salary, do we get the difference back?

Yes, you will receive a credit note for the proportional difference Omnipresent requires. This will contain the reference 'Deposit - Employee Name - Reduction'. See the example below:
