📆 Here is what payroll schedule to anticipate

Employees are paid on the last working day of the month. You should receive your salary before the end of the work day by 5:00 p.m.

💸 Here's where to go for payslips

Payslips are sent to your email, directly sent by EOS around the pay day.

🤑 Here's where to go for expenses

Please submit your receipts to the “Expenses” section of your OmniPlatform profile. Any expenses approved by your manager by the 6th of the month will be paid out on the last working day of that month’s payroll.

Submitting Timesheets

To comply with the current legal employment regulations in your country of work, we require our employees to complete monthly timesheets.
Steps:
1. Fill and complete your monthly Timesheet
2. Send the timesheet to timesheet@japanhr.co by 6th of the following month (keeping approver in copy)
Your approvers:
• Primary Approver: Ingri Silli (ingri.silli@zivid.com)
• Secondary Approver (Backup): Cecilia Le (cecilia.le@zivid.com)

🌴 Here's what to do for holiday/vacation

Use your internal HR systems for annual leave requests (Please speak to your Line Manager for assistance). Once the holiday/vacation time is approved, you must register your time off in the “Time Off” tab of your OmniPlatform profile for payroll purposes.

🌍 Wondering about your public holidays?

You should always follow the public holidays of the country you're employed in, so please take those days off and rest! Please ensure you always give a heads-up to your line manager in case they're located in a different country.

💻 Wondering about your hardware or equipment?

Omnipresent does not provide hardware, so please feel free to reach out to your Line Manager in regards to all equipment needs.

🔃 Need to update your personal details?

If you need to change your bank details, address, email address, or any other personal information, simply follow this guide: How to Edit Your Personal Information. Make sure to keep your records up to date to avoid any issues with payroll or communication!

💔 Thinking of leaving us?

We really hope this won't come in handy, but in order to comply with Employer of Record laws, here you will find the guidelines on what to do in case you wish to resign from us. Please remember that as part of the process, we need to officially receive your resignation through the OmniPlatform.

⏰ Timesheet and Annual Leave Tracking

In line with local labor law, tracking the working time of all employees and annual leave are now required in Japan.

Our local team in Japan (GoGlobal) will arrange a training session for you.

In summary,

1. You will be given access to “Zoho people

2 Log-in to the account via their PC or Smart Phone every day and click on “Start” / “ Finish”.

3. Zoho will summarize your working time per month on the last day of the month. 4. You will ask your reporting manager to approve the exceeded time which is subject to additional payments in the following month's payroll and get the manager's approval by email

5. You will provide the approval email (before any overtime can be processed) to our local team no later than 20th of each month, to proceed with additional overtime payment. If it is provided later than the cut-off date, it will be included in the following month’s payroll.
