How to sign your employment contract through the OmniPlatform.

In certain jurisdictions, signing employment contracts requires the use of a Qualified Electronic Signature (QES). This article outlines the steps involved in obtaining and using a QES for signing documents at Omnipresent using our trusted e-signature services (DocuSign and IDNow/Zeal ID).

What is a Qualified Electronic Signature (QES)?

A Qualified Electronic Signature (QES) serves as a secure and legally recognized electronic signature. It confirms the identity of the signer through an electronic mark, ensuring the authenticity and integrity of the signed document. To acquire a QES, signatories need to complete a video verification process, confirming their identity before electronically signing the agreement.

Omnipresent uses a reliable e-signature service called DocuSign in conjunction with IDNow or Zeal ID (authorized identity verification providers) to facilitate the QES process.

Before you begin, ensure you have the following items ready:

  1. A government-issued photo ID or passport. You'll have been invited to use ID now or Zeal ID to complete the identity verification process. Each provider has a list of compatible document types; ensure your document type is supported by IDNow or Zeal ID.

  2. A mobile phone number to receive a confirmation code.

  3. A stable internet connection.

IDNow or Zeal ID?

Omnipresent selects an identity verification provider case-by-case. We'll let you know whether to use IDNow or Zeal ID.

Verifying Your Identity with IDNow

  1. After your employer sets up your profile on the OmniPlatform, you'll receive an email guiding you to create your OmniPlatform account. Additionally, you'll be informed when your employment contract is ready for signature using DocuSign.

  2. Upon logging in to the OmniPlatform, you'll be prompted to review and validate your personal information to ensure accuracy.

  3. Once your profile is complete, access the employment contract. Follow the intuitive instructions provided by DocuSign to electronically sign the document. Completing the signature process will lead you to the subsequent verification steps.

  4. At this stage, provide essential details from your government-issued photo ID. You have the flexibility to choose between verifying your identity through a webcam or using a designated smartphone app for a video call.

  5. An IDNow agent will assist you throughout the verification process. This involves confirming your identity, capturing an image of your government-issued photo ID, and responding to questions regarding the document you're signing. After the video call, you'll be asked to verbally confirm your agreement to sign the document.

  6. Once your identity is successfully verified, you can opt to create a secure digital wallet to store your Qualified Electronic Signature. This convenient feature allows you to effortlessly sign future documents using DocuSign without the need for repeated video verification.

By following these steps, you've successfully applied your Qualified Electronic Signature to the employment contract. Expect a confirmation email from DocuSign, indicating the completion of the process.

Omnipresent will proceed to counter-sign the agreement, marking the final stages of your onboarding journey.

Verifying Your Identity with Zeal ID

ZealiD is a Qualified Trusted Service Provider specializing in issuing Qualified Electronic Signatures. These are recognized within the EU Member States as legally binding. The process of acquiring a QES requires:

  • A Passport, an Identification Card or a Residence Permit issued by one of the EU Member States, Norway, the United Kingdom or other countries outside the EU; Click here to check if you have a supported document.

  • A mobile device that supports Touch ID or Face ID;

  • A ZealiD mobile app downloaded from Google Play Store or Apple App Store.
